What is Astrean?

Astrean is a safe, secure and legal way to digitally submit & get your documents notarized. More specifically, Astrean is a distributed architecture SaaS platform that integrates industry leading technologies with established security protocols to provide SMBs and Notaries with a reliable, secure, and intuitive platform to perform remote online notarization. Available in Wisconsin (and soon Ohio & Oregon too).

How much does it cost to use Astrean?

There's no one-size-fits-all, yet we don't want to overcomplicate it either. There's just enough flexibility in Astrean pricing to ensure you aren't overpaying for options you don't need, yet not dinged every time you need to do one simple thing. How does Astrean work?

Notaries have been around since the dawn of time. It only makes sense for this ancient task to be brought into this century and digitized. That’s where we come in. Easy to use, trustworthy online notarization. Here’s how it works.

Create your personalized Astrean settings, with a few guided clicks. Then add unlimited users or notaries.

Send your notaries the state required, brief online training provided for you and your team.

Step 4: Time to Notarize Online

You're all set. Start to notarize documents online, anytime, anywhere. It's really that easy.

Why should I use online notarization?

Although online notarization really came to be as a result of COVID safety concerns – it’s really one of those things that will leave you asking yourself, “huh, why didn’t I think of that”?

 

But, above all, it also keeps a better record than a traditional notary process. Identifications are verified digitally through technology and recorded. Meetings and documents are recorded and store.

 

The digital seal that signs off on all notarizations and accompanies the documents, decrease the possibility of documents being tampered with, reinforcing the legitimacy.

Is online notarization legal?

Sure is! In 2011, with the passage of House Bill 2318/Senate Bill 827, Virginia became the first state to authorize its notaries to notarize documents remotely via live audio-video technology. Since then, numerous states have passed laws authorizing their notaries to perform online notarizations. 

Till date, more than 29 states have enacted remote online notarization. Due to COVID-19, states that have yet to enact RON or otherwise make their RON law effective have emergency short-term measures in effect. You should contact the agency that will receive your e-notarized document to ensure your document will be acceptable for its intended use. What can be notarized online?

First, everything must be in a PDF format. Now… that’s the easy part. Here’s a bit more about the specific document notary serviced that are allowed:

  • Self-proving Wills and codicils
  • Non-Self Proving Wills and codicils to be used in most states
  • Testamentary Trusts
  • Amendments to Trust
  • I-9 Forms
  • Certified true copies of birth, marriage, or death certificates, or other court-issued documents
  • Documents for international use

 

Astrean should not be used for trust and estate documents including powers of attorney.

 

Also, sadly – no. This isn’t the place to legitimize your upcoming marital nuptials.

How is my identity digitally verified and authenticated?

Astrean digitizes the traditional notary process, so that all steps from ID verification to the signature of the document can be securely executed and stored on a single platform. AI-based facial recognition algorithms check web conference participants against photo ids for automated verification. Knowledge based authentication Block Score provides KBA for additional identity verification.

What forms of ID do I need to verify my identity on Astrean?

You’ll need two things. First, a selfie. Then, you’ll need an appropriate form of a non-expired ID such as:

  • U.S. State Issued Driver’s License
  • U.S. State Issued Photo ID
  • U.S. Passport
  • Certificate of US citizenship
  • Certificate of Naturalization
  • Foreign Passport
  • Alien Registration Card with Photo
  • Military ID
What if a document requires multiple forms for ID for validation?

Currently, Astrean doesn’t support this feature, however we’ve got it on the list to be coming soon. Hang tight!

What is more than one person needs to sign one document?

No problem! If you’re not located within the same location, simply schedule two sessions – one for each of you. You’ll both sign your document and you’ll be all set.

My document requires a witness, how will that be handled?

Have your witness be available within the same location as you. As long as the notary on the other end can see the witness as well, you’re all set!

How does Astrean validate photo IDs?

Atrean uses Vouched for automated photo ID verification. An AI-based facial recognition algorithm that check web conference participants against photo ids for automated verification. Furthermore, using Block Score provides KBA for additional identity verification.

How is Astrean keeping my data safe and secure?

We get it. Safety is a pretty big deal. Especially when we are talking about notarized documents containing sensitive information. That's why, we've partnered with the most well-known, safe and respected software solutions out there. Click here to learn more.

Can I access my notarized documents anytime?

Yes! In your Astrean dashboard, you can find all of your documents.

How do I sign up a member of my team to be able to notarize documents?

Provide your team with your specific Astrean URL. Your team member will simply click on “Don’t have an account? Sign up.”. Then, they will just enter in their info and verify their credentials using their cellphone and token. Once they are signed up, you can assign them the proper credentials under the Admin section. You can leave them as is or select admin or notary.

How do I sign up a notary under my account?

Provide your notary with your specific Astrean URL. The notary will simply click on “Don’t have an account? Sign up.”. Then, they will just enter in their info and verify their credentials using their cellphone and token. Once they are signed up, you can assign them as a Notary under the Admin section.

I can’t make my current notary schedule; how do I reschedule my online notary request?

We haven’t quite yet implemented the rescheduling functionality just yet, but canceling and resubmitting your notarization is easy. You can even use your last KBA and ID verification to speed up the process. Rest assured, this is in the works for future release.

How do I cancel my Astrean membership?

You can't.

Just kidding.

But we do hate to see you go! If you review your account at http://master.astrean.com/subscriptions, you will see all active accounts with Astrean. You should notice a large green button on the right that is labelled "Cancel Subscription." When you cancel your subscription, Astrean will archive your data and your account will be closed.

Can I be invoiced for my Astrean membership instead of paying by a credit card?

For all subscriptions, invoices will be generated at the end of the billing period. However, if the metered usage reaches the $80 threshold for SMB monthly plans, then the invoice is generated immediately.

Astrean will charge your provided credit card on file automatically set up by you during the registration process. Please ensure that your payment method supports the full amount due in order to ensure smooth access to the service.

I can’t remember my Astrean organization domain name, how do I find that again?

There are two methods. The easiest is to log in through master.astrean.com with your email and password which will open your account and show you your available domains (http://master.astrean.com/subscriptions). Alternately, you can submit a ticket from www.Astrean.com and we will get back to you shortly.

I’m a realtor, how can I use Astrean for my clients and closings?

Once you have an Astrean account, you can start notarizing closing documents immediately. Read through the Astrean Academy to learn more!

I’m a lender/title company, how can I use Astrean for my business?

Once you have an Astrean account, you can start notarizing closing documents immediately. Read through the Astrean Academy to learn more!

Can I notarize multiple documents in a single video session?

Currently, Astrean can only be used to notarize only a single document during a video session. In our upcoming release, we will add the ability to notarize multiple documents in a single video session.

Can I choose an annual Astrean subscription plan?

Yes. We are planning to add new features soon that will give customers the ability to choose annual subscription plans. Customers opting for an annual subscription plan will get additional discounts over the monthly pricing plans.

Is there an exam required to be an online Notary Public?

Some states require remote online Notaries to pass an exam proving their knowledge of RON procedures and use of the technology. States that have implemented permanent remote notarization laws and require an exam include Indiana, Montana, Nevada and Ohio.

Do remote Notaries need special training?

It depends on where you live. States like Virginia do not require special RON training whereas other states do. For example, Florida requires a certificate of completion from a two-hour in-person or online training course upon registration as a remote Notary.

Are the documents counted per page or per uploaded document no matter how may pages?

Each document uploaded is counted as one document. It can have as many pages as long as it does not exceed the maximum file size of the edition.

Can Notaries without an Organization use Astrean?

We can’t wait to have you as part of our user base. As we are fresh on the scene, we aren’t quite ready yet for Notaries to use our tool to serve their clients. But it’s coming… soon. While we are currently only legally available in Wisconsin (but soon Ohio and Oregon too), we’re aggressively expanding our reach to additional states each and every day.
